To support our continued growth, we need the input of an all-star Office Manager to maintain and improve existing workplace operations, while suggesting and implementing new initiatives to enhance comfort. Providing support to the management team and employees, the Office Manager is integral to the smooth and organised running of the office, company events and travel.

We are looking for an organised and capable multitasker, but also a people person that will fit into our culture and help us make the best of it.

Office activities

  • Perform receptionist duties – greet visitors and provide general client hospitality
  • Keep a record of office expenses, orders and cash register
  • Keep track of company documentation regarding equipment and payments – prepare documents, organise, archive
  • Communicate with the company accountant and pass on information in time and accurately
  • Constantly improve the office, follow the latest trends to suggest new and efficient ways to run the office successfully
  • Create and maintain office-related policies, procedures and manuals
  • Food and coffee weekly orders – follow employees’ needs, choose the best vendors, make payments
  • Keep track of equipment and office supplies – monitor level of supplies and handle shortages
  • Take care of TradeCore’s physical and online library – be TradeCore’s librarian
  • Oversee the physical maintenance of the office, including supervision of cleaning and repairing. Make sure that everything is working properly and smoothly so that everyone can do their job without interference
  • Oversee incoming/outgoing mail and shipping needs
  • Work with the Operations Manager on other corporate-related activities
  • Other – printing, scanning, binding and ad hoc tasks that may occur daily

Events & Travel
  • Travel arrangements and other logistics – transportation, accommodation, travel insurance and event tickets according to a pre-approved budget
  • Travel inside the country – managing the company Car:Go account
  • Conference logistics for the executive team or employees – tickets, registration, travel arrangements
  • TradeCore events – participate in organising internal and external company events, e.g. celebrations, parties, team buildings, town hall meetings, conferences, etc.

Employee Support
  • Manage the employee onboarding process – prepare workspaces (desk, chair etc.) and ID cards, order equipment, making sure everything is within budget and followed by proper documentation * Daily communication with employees regarding their equipment and office requests/problems * Share important office-related news and announcements with employees using our internal communication channels

Assist CEO and management team
  • Track the CEO’s calendar, schedule and plan meetings/appointments, as well as travel arrangements
  • Assist the CEO, other executive staff and team members with their daily responsibilities

In order to be successful in this role, you should have:

  • An ambition to advance your career in Office Management. Experience in this area or similar roles, especially within the IT industry, is a major bonus.
  • Strong integrity and credibility
  • The ability to keep up in a fast-paced environment while being self-sufficient, highly organised and adaptable to changes and growth
  • Great communication skills – both written and verbal (Serbian and English)
  • A polite, friendly disposition with a team-player mindset
  • A knack for spotting areas that need attention – displaying initiative and motivation to implement solutions swiftly
  • Advanced knowledge of Excel, and a positive attitude towards using a variety of different digital tools and apps
